You have:

  • At least 5 years administrative experience supporting senior management, with at least 2 years Executive Assistant experience
  • General knowledge of budgeting and purchasing processes
  • Good organization, time management and communication skills
  • Ability to pay great attention to detail and work under pressure
  • A team player, with a strong customer service orientation
  • Advanced proficiency in MS Office suite of applications: Word, Excel and PowerPoint


Nice to have:

  • Completion of post-secondary education in Administrative studies or a related field
  • Excellent knowledge of administrative and expense related policies and procedures 
  • General knowledge of relevant acts (e.g., Assessment Act, Municipal Act, Education Act) 
  • Experience using an ERP/HRIS system (SAP preferred) and Data Tracking System 

 

What you will do:

  • Receive, review and distribute all correspondence directed to the Vice President and follow up on all outstanding issues in a timely manner
  • Respond to routine enquiries either verbally or in writing using discretion in the release of information
  • Prepare documents, reports and presentations in a professional manner and according to specifications and adherence to MPAC standards
  • Plan travel and meeting arrangements for the Vice President and the management team as required
  • Provide input into annual budgeting process and input budget information into SAP financial system
  • Examine and process all expenditure documents, including preparation of purchase orders for requisition of office supplies ensuring compliance with relevant policies and procedures
  • Reconcile suppliers’ Statements of Account, resolving any discrepancies as required
